ISSUE/BACKGROUND:

All of our vehicles at RTA required oil, grease, other fluids and lube for both operation and maintenance purposes. The Maintenance Department is seeking to award a contract to McPherson oil after conducting a sealed competitive bid process to supply those needed vehicle fluids and lube.

DISCUSSION:
From buses to streetcars, they all need a variety of different fluids and lubricants to stay running. The team is seeking a two-year contract with a company that can supply those needs with two one-year extension options.
In addition to normal vehicle fluids and lubricants such as oil, coolant, and grease, this will also include the purchase of DEF(Diesel Exhaust Fluid) fluid. DEF is an emissions system fluid that is essential to all of our 2012 and newer buses to burn harmful emissions produced by diesel engines.
The RTA has completed a competitive sealed bid process to get bids on the necessary fluids and lubes for Bus, Rail, and support fleet. After evaluating expected costs associated with our fleets concerning fluid and lube usage, it is recommended to award the contract for the procurement of fluids and lube to The McPherson Companies, Inc.
FINANCIAL IMPACT:
The funding would be through local funding, the expected cost is estimated at $325,146.00 per year and $650,292.00 for two years.

When approved to proceed, the team will continue to develop this proposal in accordance with the Notice of Funding and the contract award.
