Authorize the Interim Chief Executive Officer to exercise the one (1) year option with Everon for continued Alarm Fire & Sprinkler Monitoring and Inspection Services for RTA facilities in accordance with the existing contract terms and conditions for a total of two (2) years

end

ISSUE/BACKGROUND:

body

The Regional Transit Authority entered into a contract with Everon to provide alarm fire monitoring and inspection services for RTA facilities. The contract was initially established for a period of one (1) year, with provisions allowing RTA to continue the services through one (1) additional option year that would bring the total term to two years, subject to the terms and conditions of the contract. Everon Provides Fire and sprinkler monitoring and inspection at RTA facilities, including Canal, New Orleans East, and Carrollton facilities. The current contract with Everon is set to end November 4th, 2026, and the extension would carry one additional year. Board approval is now needed because the total contract value exceeds $ 100,000.

Everon provides essential fire monitoring and inspection services necessary to support the continued operation, safety, and regulatory compliance of RTA facilities. These services include the monitoring and inspection of fire alarm systems and related life-safety equipment at designated RTA properties. Everon has performed well under the current contract with the agency, providing responsible response times to issues and ensuring inspections are done in a timely.

The current contract remains active and provides RTA with the ability to exercise the available option year. Continued service is necessary to ensure uninterrupted monitoring and inspection coverage and to maintain the required level of fire and life-safety protection throughout RTA facilities.

DISCUSSION:

RTA is requesting authorization to exercise the one (1) year option with Everon for continued Alarm Fire & Sprinkler Monitoring and Inspection Services, effective immediately.

Continuation of these services is necessary to ensure RTA’s fire alarm and sprinkler systems remain monitored and inspected in accordance with applicable requirements and the operational needs of the RTA. Exercising the option year will provide continuity of service under the existing contractual terms and avoid a lapse in monitoring and inspection coverage.

The option year will be exercised in accordance with the existing contract, including all applicable terms, conditions, scope of services, and pricing. After this extension, Staff will start working on a new procurement for these services. The Contract is set to end November 4th, 2026, and the extension will provide one more year of service.

FINANCIAL IMPACT:

The financial impact associated with exercising the option year is $77,370.00 for the one-year renewal period, resulting in a total contract value of $154,740.00. Funding is available through account codes 01-2843-99-7670-127-00-00-00000-00000 (administrative buildings), 01-2843-99-7670-125-89-00-00000-00000 (garage/shops), and 01-2843-99-7670-124-00-00-00000-00000 (operating stations).

NEXT STEPS:

Upon Board approval, RTA staff will proceed with exercising the one-year option with Everon and coordinate the continuation of Alarm Fire & Sprinkler Monitoring and Inspection Services for RTA facilities.

Staff will also begin working on a new procurement for these services for future services, as the options for extensions to this contract have ended.
