ISSUE/BACKGROUND:

The agency requires the purchase of a replacement backhoe to support the maintenance, repair, and construction activities necessary to sustain the agency’s infrastructure. The existing equipment purchased in 2006 has reached the end of its useful life, resulting in increased maintenance costs, reduced reliability, and operational inefficiencies. The old backhoe will be sold at auction. Acquiring a replacement backhoe will ensure that maintenance personnel have dependable equipment to perform critical work safely and efficiently while minimizing service disruptions.

DISCUSSION:
The agency’s utilization of the Louisiana state contract (contract number 4400033303) for procurement of the replacement backhoe provides a competitive, compliant, and cost-effective purchasing method. Purchasing through the state contract streamlines the procurement process while ensuring the equipment is obtained at negotiated pricing and in accordance with all applicable state purchasing requirements.
FINANCIAL IMPACT:
Funding is available through grant LA2024-011-12.42.06 in the amount of $10,500 and grant LA2023-001-12.42.06 in the amount of $142,071.14 in federal funds for a total project cost of $152,571.14.
NEXT STEPS:
Upon Board approval, staff will issue a purchase order and proceed with the purchase of the replacement backhoe through Doggett Machinery Services utilizing the Louisiana State Contract.
